Coding Project Design
Finding critical information in a large document case can be
problematic. Esquire Litigation Solutions' approach is to code (or
index) the relevant information from each document into a searchable
CIS-FT database. Our coders read each document and extract
information such as To, From, CC, Subject, Date, and so forth. This
information is entered into the database where it can then form the
subject of searches. Each coding project is designed specifically to
match the client's needs. In addition to coding, documents are often
scanned and a CD-ROM archive created.
Software Coding Options
Our software, the Case Information System (CIS-FT), is specialized
for litigation support needs, but coding can be exported to other
databases (such as BRS, Concordance, MSAccess, and Summation)
according to the needs of the client.
Coded and Imaged Document Database Integration
CIS-FT is compatible with IPRO image-retrieval software and can
communicate with it in a Windows environment. These two packages
allow users to search, locate, and print document images.Coded
information and the corresponding document image can be viewed at
the same time. the CIS-FT coding and retrieval package appears in
one window, while the image appears in another. The user can easily
page through images while examining coded information about each
image, or create search files in CIS-FT and view the actual images
in the IPRO window.
For users who are currently using another image retrieval system,
we can convert scanned images from IPRO software to other formats,
such as TIFF IV.
Esquire is a Value-Added Reseller (VAR) for IPRO image retrieval
software. We installs IPRO software as well as CIS-FT. IPRO Inc. of
Phoenix is a major provider of document imaging software.
Quality Control
Disciplined conventions ensure that data will not be missed or
overlooked due to spelling variations or incorrect entries of dates
or codes. Specific quality control methods ensure that documents are
treated in a consistent way even when many coders are required to
complete a job.
Sample Coding at No Cost
To facilitate database planning, we will design a database and code
a few hundred pages of project documents at no cost. This initial
coding provides the basis for subsequent design discussions between
the client and Esquire.
Costs
Esquire provides estimates for document coding based on a
description of the volume of documents and the required keys
(fields). We base this quote on a representative sample of the
documents. Per page or per document costs are a function of the
number and nature of keys required, the quality of the documents
and, to an extent, the total volume.
